Stephen Hawking office productivityWhether you are in the business of running a company or even running a country, the words efficiency and productivity are not only frequently used in policy and strategic rhetoric, they also appear to be largely interchangeable. This is frequently problematic. There is no denying the importance of both, but understanding their differences is vital to achieving real success when focusing on financial outcomes. The Merriam-Webster Dictionary defines efficiency and productivity in the following ways: Efficiency – the ability to do something or produce something without wasting materials, time, or energy. Productivity – the rate at which goods are produced or work is completed. Essentially, increasing efficiency means doing more with less, whereas increasing productivity means producing more with the same, for a business this typically means with the same amount of staff, space, time or materials.

Working while commuting is on the increase survey findsTo say that I am obsessive about the subject of productivity in the workplace is an understatement. It is integral to much of the subject matter I write about, including the core theme contained in my book Don’t Worry About The Rent. Whilst undertaking research, it was important for me to get to the bottom of the decision making processes that many businesses go through when choosing office space. I was well aware of the predisposition for the commercial real estate industry to ask questions around size, cost and location, but I was particularly interested in what other issues might rise to the surface and become “top of mind” for management to consider around office choice. Predictably, I found that tenant surveys, including those undertaken by Colliers International confirmed that the two major issues management would consider were size and cost. The next biggest issue however was a surprise and it related to concerns around commuting.

So where do you start when identifying the attributes that make an office an ‘attractor’ for staff? There are numerous articles extolling the virtues of everything from pool tables, to hammocks, creative “playgrounds” and all manner of enticing and unique workplace design considerations. However, I believe that there are more intangible and subjective issues at stake such as building aesthetics, prestige and values alignment. Very few businesses benefit from working in low-key, nondescript locations. The only likely motivation for occupying such a space would be cost-driven. Likewise, nobody wants to work in a building that is run-down, outdated and clearly past its best-by date. It is preferable for most office workers to work in a building that is new, interesting, prestigious or an acknowledged landmark. It becomes something they can be proud of and would be happy to share with family, friends and colleagues.

Building design WELLBusinesses that seek to occupy premium or grade A office accommodation are traditionally seduced by the next big thing. What was once a bespoke architectural design, then became an icon, a taller building, one made of glass and finally the inevitable iconic, tall, glass tower. Now it seems a good number of those businesses have moved on to green buildings as a must have upgrade to the skyscrapers of glass and steel. Green, it appears, is the new black. But is that really the next big thing or is being green merely the last big thing? Even worse, does going green in terms of building design actually deliver the types of benefits that an occupier or landlord was anticipating, beyond the significance of branding and an alignment with grade A quality office space? The green building narrative is a particularly powerful one and the growth of LEED and BREEAM rated buildings over the last decade is proof of that power.

Four-Front-G-Adventures-mattchungphoto-lo-res-2-6-2Why is it that just about every article I read talking about the value of workplace design, almost always ignores the broader context of the building and precinct in which the workplace is located? Similarly, almost all conversations extolling the virtues of remote working, love to predict the extinction of the office and diminish its relevance as an important contributor to the operations of a successful business. Personally, I have yet to find an acceptable substitution for face to face communication. It is just not possible for clear, consistent and unmistakeable communication to occur over email, text, phone or skype. The ability to be able to read someone’s body language, grab a pen and paper to draw a diagram, point to an example, empathise sincerely with a colleague, customer or collaborator’s struggles with complex concepts, is just not possible to do quickly, effectively and efficiently without face to face communication.

Nor am I going to suggest that all you need to do to grow a successful business is to invest in a fully loaded, bells and whistles, technology laden, productivity enabling office environment. Not that all of those things won’t help, they very well could be the things that prove to be difference makers. What I will suggest however, is that in most instances a business’s success relies almost exclusively upon the satisfaction of their customer base. Any deliberations associated with office space should, therefore, in some way consider their needs and desires. No doubt these considerations will be highly dependent on the type of business you are in and whether the model it embraces is business-to-business or business-to-consumer, but when contemplating the needs of your clients, you should at least ask yourself the following 4 simple questions.

Other than government and the Not for Profit (NFP) sector, a prime motivation for every CEO, business owner and manager is the search for increased profitability. In most instances, a business has three pathways to increasing profitability. The first is through increasing turnover or sales (assuming the cost base remains equitable), the second is through reducing costs, and the third is by improving productivity. I have previously written quite a lot about the relationship between office space and productivity increases, but this article will explore one of the most insidious elements associated with any businesses cost base (including government) and that is staff turnover.

onionThe onion metaphor is normally used to describe the layers which must be peeled away to get to the all-important “core” of a problem or issue. The biggest question that is normally asked with respect to choosing office space based on the promise of improved productivity, is quantifying the value of the various initiatives that might be contemplated or proposed. I can’t help but think of how complex that question is due to the many “layers” there are to work through to get to a final quantifiable answer. In its most simple form the question of productivity in the workplace, is confined to how staff utilise their time to undertake the tasks or duties that correspond to expected output. But of course it is not only their use of time, but the environmental influences associated their environment, both in the workplace, its surroundings (the actual building and the precinct in which it is located) and their method of travel to the office.

Office moveThere are generally four main reasons why a business considers changing to new office space:  your business is growing and your existing office can’t be expanded to accommodate that growth; your need for office space is reducing due to a change in business circumstances; your office lease is nearing expiration: you are prepared to explore whether a change in office could improve your current business performance. It is the last of these four reasons that sits at the heart of this article, but that does not detract from the validity of the other motivations for investigating options for new office space. Changing office space requirements and/or the fact your lease is expiring do not preclude searching for new ways to improve business performance. In fact, they provide a compelling excuse to explore alternatives and often organisations choose to move for a number of good reasons.
