In today’s highly digital landscape, tools like AI and machine learning were developed to significantly improve productivity in the workplace. But despite their existence, many companies still trail behind in terms of integrating AI in their office environments. In fact, an article on Workplace Insight previously noted that over a quarter of employers fail to provide staff with digital and flexible tools. Though it is predicted that the next couple of years will see businesses adapt to a human-and-machine environment, organisations still have a lot of catching up to do in terms of digital basics.

Nearly quarter of employers not providing basic tech tools for digital and flexible workingOrganisations are failing to get the basics right when it comes to providing the digital and virtual systems that support employees in their roles, despite an evolving technological landscape and rise in flexible working, a new report has claimed. Data released by Leesman analyses how organisations can better support employees by offering the technology tools and infrastructure that enable people to work in a flexible way. In Deloitte’s 2018 Tech Trends report issued at the beginning of 2018, there was a heightened focus on how disruptive technologies will help businesses achieve larger strategic and operational goals and drive greater value. It predicted that within the next two years, more companies will embrace the emerging ‘no-collar workforce’ trend by redesigning jobs and reimagining how work gets done in a hybrid human-and-machine environment. However, Leesman’s findings show that, as of yet, organisations are failing to get the digital basics right. According to its latest dataset (Q1 2018) 23 percent do not agree that they have the technology tools and infrastructure that enable them to work in different locations across the office or from different locations outside of the office.

Open plan offices make people more image and status conscious

Employees may subconsciously act and dress differently in open plan office environments, according to a new study published in the journal Gender, Work and Organization. The research carried out by academics from Anglia Ruskin University and the University of Bedfordshire over the course of three years analysed the behaviour of around 1,000 employees at a UK local authority that moved from six separate departmental buildings into a new shared office building. The design of the building made extensive use of glass and incorporated large, open-plan offices and collective spaces, with the usual aim of eroding hierarchical and departmental boundaries and promoting interactions.

No surprises in new report on future workplace trends

The latest Global Workplace Trends report from Sodexo focuses on the ‘workplace experience’ and how it affects levels of engagement, wellbeing and corporate performance. It’s an undemanding study that sets out seven trends covering familiar themes in a familiar way, even though the authors claim it offers ‘fresh insights’. As well as the idea of ‘experience’, it touches on ideas about the intersections of digital and physical space and the implications for people and organisations as well as the workplace professions. It uses the standard vocabulary, various buzzwords and the usual presuppositions to look at the impact of Millennials, AI, the sharing economy and so on. The visuals are the usual parade of smiling, diverse – but no unattractive, disabled and old – hipsters sharing screens and being creative in sun-dappled interiors. Sauce it with some virtue signals and it’s job done.

Nearly half of London Law firms are already utilising AIThere have already been warnings from workplace experts that the legal profession isn’t one to choose for those starting out on their careers as it’s ripe for automation, and a new survey claims these changes are happening fast. According to a survey of over a 100 law firms by CBRE, nearly half (48 percent) are already utilising Artificial Intelligence (AI) and a further 41 percent have imminent plans to do so. Of the firms already employing AI, 63 percent of firms are using it for legal document generation and review, and the same proportion for e-discovery. Due diligence (47 percent) and research (42 percent) were also common applications, along with compliance and administrative legal support (each 32 percent). The use of AI will affect employment levels, with the greatest impact predicted at the junior and support levels, where nearly half (45 percent) of firms believing that there will be a reduction in headcount. In contrast, only 7 percent of firms believe that senior headcount levels will be reduced.

A vision of how the facilities management profession can embrace the modern workplace

Following its March announcement of a proposed name change to reflect a greater focus on workplace issues, the British Institute of Facilities Management has published a new report to explore the relationship between FM and a nascent workplace discipline. According to the authors, the purpose of the report is to ‘highlight the opportunities and challenges that workplace presents for FM by exploring the relationship between FM and workplace – and considering how this relationship could change in the future’. While the report acknowledges that facilities managers have always addressed workplace issues as a core element of their role, recent developments in the way people work and the way firms think about their workspace have led to a new emphasis on workplace as a discipline coupled with a sense that its core principles are subject to a number of misunderstandings.

HMRC signs for Manchester HQ as part of nationwide programme of lettings

HMRC has completed a 25 year letting of 157,153 sq ft at the English Cities Fund’s New Bailey development in Greater Manchester. HMRC will take over the whole of the seven storey 3 New Bailey development with staff moving in from 2022. The move is part of a nationwide programme of lettings in major cities to deliver HMRC services at local level, overseen by the Government Property Unit. There have already been announcement of new HMRC hubs in Cardiff, Edinburgh, Leeds and Birmingham. The New Bailey move will form the initial phase of the HMRC Manchester Regional Centre. Additional capacity for around 2,500 staff working in the city will be retained at Trinity Bridge House as a transitional site until 2027/8, when the second phase of the regional centre is expected to open. Greater attention must be paid on the aesthetics of an office to attract younger talentOver a fifth (21 percent) of 18-24 year olds admit that they have rejected a potential employer because of the poor design of the office or lack of amenities available, while 34 percent in the same age group would be willing to commute for a maximum of one hour each way to an office that is considered perfect – compared to 22 percent of 45-54 year olds. The research, commissioned by Mindspace, found that 16 percent of 18-24 year olds have actually left a job because of how poorly designed the office was in one of their previous roles. Overall, nearly a third (31 percent), of workers are bored with their current office environment and feel uninspired at work, with 28 percent of workers describing their place of work outdated and dull. The research also found that while most workers had access to amenities such as a kitchen (72 percent), meeting rooms (66 percent) and free tea & coffee (53 percent), what UK office workers desire the most to improve morale is more natural light, air conditioning and improved interior lighting.

More than a third of workers say lack of natural light affects their performanceOver a third of workers are adversely affected by a lack of natural light in their office, others complain that the lighting is too bright and a significant proportion say the quality of light provided is so weak they struggle to read. This is according to a new poll which quizzed employees about the difficulties associated with workplace lighting and found that headaches and dizziness were a problem for one in seven. Other employees reported finding the lighting too bright and dazzling (12.4 percent), while one in 10 said they had to strain their eyes due to a general lack of light. A similar proportion said they were bothered by the position of the lights and by the ‘stressful environment’ created by their workplace lighting (9.3 percent each). The findings come as reports of ‘sick building syndrome’ — a condition associated with office work that causes symptoms including headaches and respiratory problems — continue to hit the headlines. Such symptoms are usually attributed to unhealthy or stressful elements of the working environment, such as poor ventilation and lighting.

Occupiers seeking tech, flexibility and wellness in a newly consumerised workplace

Nearly two-thirds of  corporate occupiers (62 percent) plan to increase their investment in real estate technology over the next three years, most of them in the next year, according to the 2018 EMEA Occupier Survey from CBRE. Companies are intending to invest more heavily in new real estate technologies over the short to medium term in order to enhance the user experience and raise workforce productivity. This represents a clear move away from aiming real estate technology at purely operational goals such as energy management.

Wellbeing programmes that focus on staff engagement neglect a need to address mental health

The mental health of employees, especially those working within high pressured working environments are the number one concerns for UK CEOs. Nearly three quarters (73 percent) of respondents to the annual wellbeing report ‘Employee Wellbeing Research 2018’ from Reward & Employee Benefits Association (REBA) in association with Punter Southall Health & Protection, admitted that high pressure working environments are now the biggest threat to wellbeing. Just a third (34 percent) of respondents provide mental health training for line managers, and despite a similar percentage (35 percent) planning to introduce this training in the next 12 months, one in six (14.9 percent) say they have no plans to introduce this sort of training. Although mental health in the workplace is the top priority for almost three in five (60 percent) CEOs in the UK and the area of employee wellbeing with which their Board is most concerned, currently, the key drivers of wellbeing strategies are to improve engagement and culture. Well over a quarter (30 percent) of respondents said wellbeing strategies are primarily driven by a desire to increase employee engagement and 23 percent to improve organisational culture.
